Postgraduate Recruitment and Admissions Administrator

Due to our continued success and expansion we are looking to appoint an Admissions Officer to provide a pro-active high quality and efficient undergraduate and postgraduate student admissions service carrying out all the necessary administrative duties, customer relationship management activities and account management service to applicants and UCFB departments.
Working in UCFB’s central Recruitment and Admissions Office, the post holder contributes to the assessment of applications and delivery of an effective, timely and customer focussed service contributing to the UCFB’s annual undergraduate and postgraduate recruitment targets ensuring that students of the highest calibre, with the potential to succeed, are admitted; and that the principles of fair admissions are upheld.
Main Duties and Responsibilities
- To undertake selection decisions at undergraduate/postgraduate taught level after having confirmed the selection criteria against which applications are to be considered.
- Ensures that applications are processed within the agreed timescales, policies and practices, taking responsibility for key admissions activities using UCFB’s online admissions system.
- Responsibility for making offers to applicants assessing personal statements, tutor references as well as predicted grades and making full assessments and decisions on applications, ensuring compliance with a range of admissions requirement checks.
- Responsibility for full assessment of residency requirements, including determining fee status in line with UKBA policy to ensure that the UCFB remains fully compliant with Tier 4 requirements.
- Responsibility for other essential admissions procedures including new qualification assessment, discontinued/alternative courses, criminal convictions, fraudulent applications and full involvement in the confirmation period.
- Co-ordinates the handling of enquiries from prospective students, both in person and by telephone and by electronic mail working to key performance indicators and quality standards developed according to UCAS guidelines and good practice.
- Provides course advice to prospective students and cross sell alternative suitable courses where appropriate.
- To contribute to the maintenance, development and communication of sources of admissions related information, advice and guidance for all applicants and stakeholders.
- Deliver a seamless customer service using a variety of communication methods in providing specialist admission support, information and guidance.
- Updates the Admissions Manager on courses which are not recruiting applicants or converting to target.
- Contributes to the development of policies and procedures connected with the selection of undergraduate/postgraduate applicants for admission and develop effective systems to enable the Admissions Manager to implement and monitor admissions policies, service standards and practices.
- Acts as a first point of contact for complaints, problems and disputes with regards to Admissions. Ensures complaints are passed to the relevant department for action.
- Prepare admissions statistics for the Admissions Manager as required.
- At all times be aware of and adhere to Data Protection, the Equalities Act and other relevant legislation and guidance as advised
- Contributes to the wider work of the Student Recruitment and Admissions Office, representing UCFB externally to a high standard. This will involve occasional contribution to events and activities such as open days and conferences, in addition to evening and weekend work as required.
- Undertakes such duties as may be specified by the Admissions Manager and the Head of Global Marketing & Student Recruitment.
Person Specification
- Ideally a minimum of 2 years HE Student Admissions experience
- An undergraduate degree or equivalent, ideally in business and/or marketing related subjects
- Confident, highly motivated and tenacious approach to work
- Proven track record of meeting targets, delivering results and taking responsibility for decisions and outcomes
- The ability to work to tight deadlines and changing priorities
- Excellent organisational and time management skills
- Excellent written and verbal communication skills
- Ability to work effectively on an independent basis with initiative as well as part of a cohesive team
- Well-developed IT skills, covering Microsoft Word, PowerPoint, Excel, Access and Outlook
- Experience of using database systems, ideally Customer Relationship Management (CRM) systems
- It is expected that the post holder will work flexibly according to the demands and responsibilities of the role. Some weekend and evening work is expected.
